Terms & Conditions

Acceptance.
By engaging with Away Adventure (referred to as "the Company"), customers acknowledge their acceptance of these Terms and Conditions.


Booking Tours.

a) Making a Booking
Booking a safari or tour involves an interactive process. After clients express their interests, we engage in dialogue to tailor the tour to their preferences. Upon agreement on the tour details and pricing, clients proceed to make a deposit, and we confirm the booking.

Clients are required to fill out forms to provide necessary details such as inbound flights and dietary restrictions. Special requests included in our Registration Form are honored whenever possible. However, requests outside of this form do not form part of the contract.

The Company reserves the right to decline a booking between its initiation and the delivery of receipt paperwork to the client.

b) Price Guarantee.
Once a booking is confirmed, we commit to honoring the prices outlined in the quotation, with exceptions outlined below:

  • Estimated price increases: Bookings made significantly in advance may include estimated price increases, which clients are obliged to cover.
  • Government-regulated fees and taxes: Additional charges due to changes in fees and taxes.
  • Fuel surcharges: Clients are responsible for sudden fuel cost changes.
  • Major errors: Significant undercharging in quotations allows the Company to withdraw the offer.
  • Exchange rate fluctuations: Large movements in international exchange rates may result in additional charges.

Payment Terms.

Payments are scheduled as follows:

  • Camping Safaris: 20% deposit
  • Lodge Safaris: 30% deposit
  • Tailor-made Tours: 30% – 70% deposit

Final Payments can be made upon arrival (Cash USD preferred). Payments are accepted via bank wire/transfer, credit cards, and online platforms. All payments should be made to company accounts based in Tanzania.

Separate group member payments are accepted, but communication should be managed through the Group Leader.


Payment and Invoices.

All payments must be settled prior to the tour start date. Clients are required to email a copy of the bank receipt upon making payments.


Currency.

Quotations are in USD. Payments can be made in USD via bank transfer, directly into our bank account, or through Online Credit Card Payment.


Tour Element Modifications.

a) By the Company
The Company reserves the right to adjust itineraries for the clients' benefit. Delays or changes beyond our control may incur additional costs, which clients are responsible for. Minor modifications may also occur during the booking process without affecting the contract.

b) By the Client
Client-requested changes after payment may result in amendment fees. Cancellations are subject to standard charges.


Cancellation Policy.

Should you need to cancel, please notify us in writing. Cancellation fees are as follows:

  • 61+ days: Loss of deposit
  • 60 to 40 days: 25% of total cost
  • 41 to 28 days: 60% of total cost
  • 27 to 7 days: 80% of total cost
  • Less than 7 days: 100% of total cost

In some cases, credit notes on deposits may be issued. We strive to handle cancellations with fairness and understanding.


Insurance.

Clients are advised to obtain comprehensive travel and medical insurance, covering trip cancellations, medical emergencies, evacuations, and repatriations.


Tour Suitability and Inappropriate Behaviour.

The Company may terminate arrangements for clients whose behavior causes distress, damage, or danger to others. Clients must disclose any mobility limitations or health concerns prior to booking.


Problems Arising During a Trip.

Clients are encouraged to notify the Company or their guide of any issues during the trip for immediate resolution. Claims based on undisclosed problems will not be entertained.


Liabilities and Limitations.

The Company and its agents are not liable for issues outside their control. Independent suppliers’ terms may further limit liability.


Additional Excursions and Activities.

Clients engage in third-party excursions and activities at their own risk. The Company provides information but is not responsible for these services.


Airline and Flight Issues.

Clients must pursue airlines directly for compensation regarding cancellations, delays, or denied boarding under applicable regulations. The Company is not liable for consequential impacts on other trip elements.


Transfer Problems.

While we aim to minimize disruptions, Away Adventure is not responsible for delays caused by transport providers. Clients should confirm schedules with local operators. Flexibility is essential for travel in Tanzania.


Information.

The Company is not liable for errors in information provided during sales or trip delivery. Refunds are limited to costs for specific booking elements affected by errors.


Health and Safety Expectations.

Clients must follow health precautions and vaccination requirements. Standards in Tanzania may differ from other regions, and clients must prepare accordingly.


Terms and Conditions of Suppliers.

Independent suppliers’ terms may limit or exclude liability under international agreements. Copies are available on request.


Customer Protection.

To safeguard clients:

  • Payments to suppliers are made in advance.
  • Profits are retained in separate accounts until trips are completed.
  • Clients are required to purchase travel insurance to protect against cancellations.

Legal Jurisdiction.

All disputes are governed by Tanzanian law and settled exclusively in Tanzanian courts.


Fraudulent Enquiries.

Competitors submitting fraudulent inquiries will be pursued legally, including claims for damages and competitive advantage.


Definitions:

  • Company: Away Adventure
  • Group Leader: Primary client handling trip arrangements
  • Contract: Agreement between the Company and Group Leader
